Overview

Contact Management entries can be shared across multiple contact records.  To do this, one creates the contact management record to be shared under a "primary" contact and then adds linked person records to the entry.  The contact management entry is read-only in shared contact records but can be edited in the main record in the normal way.

Example Scenario

  • 2 people attend a one-on-one counseling session
  • A Contact Mgmt note is entered into one profile and a Headcount of 2 is set
  • The Linked People tab of the note entry allows you to select a linked profile to copy the note to
  • CSC Network Partners:
    • The second note is read-only note in the linked profile and not an entry that would be counted in the Gnosis ADAPT report.
    • The actions above would result in 1 session with 2 visits for ADAPT purposes.

Sharing a Note with Linked Profiles

Follow these steps to include additional contacts in the shared entry:

1.  Accessing Linked People: Navigate to the "Linked People" tab situated at the bottom of the primary contact's record.


2.  Selecting Contacts to Link:

For Individuals: Use the "Select People" button to choose from a list of household members or related individuals. Alternatively, utilize the search function to include anyone from the database.
For Organizations: Similar to individual contacts, click "Select People" to pick from organization contacts or search for any database-listed person.

3. Finalizing the Link: Once the note is saved, the linked contacts will display the shared entry in a read-only format.

Viewing The Shared Record

Linked contacts display the shared entry in a read-only state. A direct link to the primary contact's record is available for editing purposes.

Head Count and Statistics Effect

The shared entry does not alter contact management statistics; it is designed purely to make notes available on multiple profiles. In situations where multiple people were involved in the contact, continue to use the "Head Count" field to record additional attendees for statistical purposes.

For CSC Network Partners only: The second note is read-only note in the linked profile and not an entry that would be counted in the Gnosis ADAPT report. The actions above would result in 1 session with 2 visits for ADAPT purposes.
