From time to time, you will need to update your Gnosis-to-QuickBooks mappings as your chart of accounts in QuickBooks changes.

To update mappings:

  1. Open Transaction Batch Management in Gnosis
     
  2. Click on the "Split" area on the right of the "Post To Quickbooks" PostToQuickbooksButton.png button and select the "Manage Gnosis to QuickBooks Mappings" option.
     
  3. Switch to the "Book Setup" tab in the "Quickbooks Posting Options" window.
     
  4. Click on the blue arrow at the end of the QuickBooks file for which you wish to update mappings.  This will download an updated chart of accounts from Quickbooks.

     
  5. If you need to change banks that income is mapped to, click on the Spanner icon at the end of the QuickBooks file for which you wish to change banks.  This will display the Edit Book dialog:

     On this dialog, you can add new bank account entries in the "Banks" text box and press the "Add" button for each new bank.

    IMPORTANT NOTE: Before removing any existing banks on this dialog, please ensure that none of the mappings described in the rest of this article refer to the bank accounts to be removed.
     
  6. Switch to the Account Mappings tab now and update the various mappings that need to be changed.

    1. Under Account Mappings, all Gnosis income accounts must be mapped to the appropriate QuickBooks™ Income Account.
      1. If you have multiple Quickbooks Books configured and enabled in the "Book Setup" tab, for each Gnosis account you will need to choose the "Book Name" to be used to receive the posting from that Gnosis account.
    2. Next, you will choose the appropriate QuickBooks™ income account in the drop-down box for each Gnosis account.
    3. If there is a Gnosis account that should not be posted to QuickBooks™, uncheck the Post checkbox.
    4. If you also use classes in QuickBooks, you may also choose a Quickbooks class to be associated with all transactions posted from the selected Gnosis account to the selected Quickbooks Account.
       
  7. Once you are done, press the "Save Mappings" button to save your changes.
