Gnosis version 1.2.783 and later has a new scheduler for reporting. Each report may be scheduled any number of times on different schedules to run with different parameters and be emailed to different recipients.
For example, for a "Donations Over Specified Amount" report, you may want to
- Run every Monday at 6am, include donations received in the last week of $25 or over, and be emailed to the development director.
- Run every day at 7am, include donations received in the last day of $1,000 or over and be emailed to the Executive Director.
Report Schedules List
Report schedules are displayed on the report center screen for the selected report.
The icons next to each schedule show the status of that schedule and when you hover over the icon, it provides details of the most recent run and next scheduled run. The icons displayed and their meanings are:
You may edit your own schedules, plus if you have "schedule administration" ACL rights, you may edit the schedules of other users.
If you wish to change an existing schedule - for example, add another recipient of the report - you can open the current schedule and adjust it in the same manner as you initially created it as described below, simply click the elipses[...] at the end of the schedule to be edited.
Scheduling a Report
To schedule a report:
- click on the "Create Schedule" button when the desired report is selected.
- The report scheduler screen appears:
- Enter/edit the name to reflect the report name and schedule so you can easily recognize it in the future.
- Choose the report format. The options will be:
- Formatted Report - (only if a print format for the report has been designed)
- Formatted Report (PDF) - (only if a print format for the report has been designed)
- Export Data (Excel)
- If the report has prompt input fields for date ranges or other criteria, the "Set Values" button will be available. Press this button to set the values you want to use for the scheduled report.
NOTE: It is most useful to use the Query Run Date Plus/Less Days or Period options when specifying recurring report date parameters. This allows you to specify periods like "the last 7 days" so the date ranges are always relevant with respect to the report run date.
- On the next tab, select the schedule for the report to run.
Use this tab to set the Immediate, One Time or Recurring schedule to send the report.
Not Scheduled
Indicates that the items currently has no schedule set.
Run Once Immediately
If selected, the email will be sent one time immediately after confirming these settings; the one-time immediate send is completed from the server instead of your PC directly.
One time
- Set the desired date and time by either:
- Clicking the down arrow to open the calendar and time window, choose the date and time, then click OK; or,
- Enter the desired date/time directly into the text box.
Recurring
- Set the Starting On date.
- Set the Ending On date or leave it set to the default of No End Date.
- Single click the desired Daily, Weekly or Monthly tab to access the related settings.
Daily – Select Every Day (Sunday-Saturday) or Every Week Day (Monday-Friday).
Weekly – Select desired day(s).
Monthly – Selected desired day(s) of the month and optionally the desired month(s).
- Start At – Identify the time to send.
- Hourly Repeat Every – Check this box to send the item multiple times on each selected day at the specified hourly interval.
- Preview Schedule - Shows a sample list of up to the next 100 send date and times.
- Set the desired date and time by either:

On the final tab, set the recipients for the completed report and notifications of success/failure.
Use this tab to identify a Gnosis user(s) to receive system notifications - and a copy of the completed report.Email Results To
The Gnosis User to receive the report and notification. The logged-in person will be listed by default. You may add other users to receive either success statistics or failure notifications. To add another user, type the person's first and last names or part thereof or search in the Add User field.
On Success
All users checked for this type of notification will receive a success notification email from the system with the attached report.
On Failure
All users checked for this type of notification will receive a failure notification email from the system when a one time or recurring job has failed.
- Finally, press "Save & Close" and confirm the schedule in the confirmation dialog box.
