Establishing Fundraising Communications Defaults & Settings

This document describes the messaging and general settings options that should be customized when the Gnosis peer-to-peer fundraising module is first installed on a website. It is generally used by system administrators or support specialists to help set up the site. This article includes the following sections:

  • New Communications Category & Items
  • Setting Templates Preference Options
  • Message Templates & Text Setup

 

New Communications Category & Items

  1. We recommend creating a new communications category in the Communications module named appropriately - such as “Online Fundraiser Communications”.
    1. Set the communications method for this group to be Standard Opt-Out Model.
    2. Set the first media type for this group to Email Message.
    3. Set the standard recipient group for this category to be “Fundraising | Online Fundraiser Participants” which should already exist in your recipient groups list. (This recipient group must use the “Fundraising Information” schema.)
  2. In the new Online Fundraiser Communications category that was just created:
    1. Create a new email message called Online Fundraising Communications Template.  
    2. Choose the default recipient group (Online Fundraiser Participants).
    3. Set the Allow resent to people option to Always.
    4. Choose and update a template to use for your fundraiser communications.
    5. Complete the following updates for the new template:
      1. Email Subject = ≪SpecialMessageMergeSubject≫
      2. Update Sender Email and Name
      3. Email body:

 3. Also in the new Online Fundraiser Communications category that was just created:

    1. Import or create a new email message called New Fundraiser Welcome. (Template email is available in the Template Database).
    2. Confirm/choose the default recipient group (Online Fundraiser Participants).
    3. Confirm/set the Allow resent to people option to Always.
    4. The complete message content for this message is contained in this communication item and does not use any other template or text insertions.

 

Setting Templates Preference Options

Go to Preferences & Settings > Fundraising to enter the CIID for each of the following communications items:

  1. FR Communications Template CIIID
    This option must be set to the Communications Item ID number of the “Online Fundraising Communications Template” item that will be used to send messages for the fundraisers. This is the communications item created at Step 2 above.
  2. Welcome New FR CIIID
    This option should be set to the Communications Item ID number of the welcome message for new online fundraisers that are created by web site guests directly. This is the communications item created at Step 3 above.

The following message texts are defined within Preferences & Settings > Messages:

  • Each of the texts and templates in this area contains a default wording that will be used for all fundraising events.
  • These system default texts can be initially customized in the Preferences areas.
  • A few items can be further customized per event within the Event Management settings.

 

Fundraiser Message Templates - (A above)

  • The 7 message templates used in the fundraising system are described in the table below; these standard messages are linked to the corresponding actions completed on a fundraising site.
  • *Three of these messages can be further customized using the Fundraiser Default Texts and or additional settings within the Event Management settings of an internal event, see below.

New Team Leader

Template layout for the welcome sent to new team leaders.

*Must contain the required token text, {{CustomText}}, to utilize the additional customization options, see below.

Welcome New Member

Template layout for the welcome sent to new team members and individual fundraiser members.

*Must contain the required token text, {{CustomText}}, to utilize the additional customization options, see below.

Member Donation Alert

Template layout for alerting fundraising members of a donation on their page.

*Must contain the required token text, {{CustomText}}, to utilize the additional customization options, see below.

Fundraiser Updates Email

Template layout for fundraising update alerts sent to members. The update text is inserted into this template using the {{CustomText}} token.

Member's Donor Invite

Template (sample) text used by members for inviting donors to make a donation to their fundraising member page.

Team Lead's Invite to Join

Template (sample) text for inviting new members to their fundraising team.

Member Instructions

The admin area of a member page allows the booking person to send instructions to others they have registered to complete their online profile. Template (sample) text providing instructions on how to complete their fundraising profile.

 

Fundraiser Default Texts - (B above)

  • Message text in this area is inserted/added to the Fundraiser Message Templates (listed above) using the required token text, {{CustomText}}.
  • For internal fundraising events created in Event Management, these default texts are automatically added in the event settings; and
  • If desired, can be customized in the Fundraising Setup area, see Internal Event Settings - Message Text Customization below.

Message Name

Purpose

Welcome Team Leader

Welcome message to a new team leader inserted to 'Welcome Team' template via the {{CustomText}} token.

Member Donation Alert 

Default team 'donation to my page' alert text, inserted into the 'Donation Alert' template via the {{CustomText}} token.

Welcome New Member

Default welcome message to a new member, inserted into the 'Welcome New Member' template via the {{CustomText}} token.  This assembled text then is emailed to a new member.

When a new team is created, the template text is copied to the new team and can be further customized by the team leader directly before being sent to new members of the team.

Person Donation Ack Msg.

Default fundraiser's personal thank you inserted in donor acknowledgment email.  This text is initially copied to the fundraiser as the default text to use to acknowledge gifts.  It may be customized via internal event settings and can be further customized by each individual member for donations made via their page.

 

Internal Event Settings - Message Text Customization

For internal events managed through Gnosis Event Management, the highlighted message texts below can be edited to override the Fundraiser Default Texts, and therefore added to the Fundraiser Message Template text via {{CustomText}} token within the Fundraiser Message Template.

The following fundraising fields can be inserted into messages:

The plaintext version of the invitation key that can be used to join a private team.

The encrypted (query string) version of the invitation key that can be used on a URL for the invitation to join a private team.

True/False;  Indicates whether the team is private and an invitation is required to join the team.

{{JoinTeamURL}}

URL to join the team.

{{DonateURL}}

URL to donate to team member (if no team member context, will be the teams view page with #Donate appended to show the donate dialog.

{{TeamLeaderName}}

The name of the team leader.

Used For Donation Alerts Only:

{{DonorName}}

The name of the donor if not anonymous.

{{DonorAmount}}

The decimal amount of the donation.

{{DonorComment}}

The comment that was left by the donor (if any)

True/False - True if the donor is anonymous
