Tracking Online/On Demand (Digital) Attendance

Event Management offers the capability to track attendees to online/streamed programs held using an online platform such as Gnosis' inbuilt video streaming, Zoom Meetings, or Facebook Live. Follow the simple steps below to activate this setting and allow the input of online attendance accordingly.

Activating Online Media Management

In the Event Definitions settings of the event, there are two options that control the types of attendance available for the event:

1. The Internet Media Available option will add both Stream (Live) and Stream(Other) options to event attendance.  This option also enables the streaming media management area for those using Gnosis' inbuilt streaming media management.
2. The Digital Event option is automatically checked on when an event is being hosted using the inbuilt Zoom Meetings integration and may be manually checked on when the event is to be streamed live via other platforms or an external Zoom account. 

Inputting Digital Attendance

With Internet Media Available checked on for an event, there will be two new attendance types available on the Attendance Management screen:

• Stream (Live): Used to record those attending an online event live
• Stream (Other): Used to record those attending an online event by viewing an archived recording

When Gnosis auto-tracks attendance for the above-mentioned options, the appropriate selection is automatically applied.  When manually tracking attendance, you should choose the appropriate option for each attendee.

To manually enter attendance for an online event:

1. Search to add a person for attendance.
2. Uncheck the In-Person box and check the Stream (Live) or Stream (Other) box as appropriate
3. When done, click Finish, as usual, to save your data and close the screen.

Gnosis Integrated Streaming Attendance

Gnosis offers an optional integrated video streaming service that allows you to automatically track attendees in your Gnosis system as the viewer opens the video page, avoiding the need to enter the information manually. Additionally, if desired, you can direct and restrict the audience to participants/members only. For additional information on this option, please contact support.

Reporting by Type of Attendance (In-Person, Streaming Live or Other)

When counting attendance, each attendance record represents an attendee. To count the number of attendances to each type, using the Event Attendance schema you will find the following reportable fields:

• Attendance In Person
• Attendance Stream (Live)
• Attendance Stream (Other)
